How do you tell parents a game is cancelled?

In Squaddie you just cancel, postpone or edit the match. The app works out what changed and sends one clear message to the team: "Match cancelled: Year 7 Hawks vs Eagles on Sat 24 Oct at 9:00 am", or "Now 10:30 am (was 9:00 am)". Families with the app get a push notification, and every parent email on file gets the same message.

Most coaches find out about a wet ground at 7am on Saturday, then spend the next half hour texting, posting in three group chats and still fielding "is it still on?" messages at the courtside.

Because the change and the message are the same action, nobody gets left off the list and nobody gets the old time by mistake.

How it works

One change, the whole team told

  1. Change the match

Edit the time, date or venue, mark it postponed or cancelled, or delete it. On the web, in the mobile app, or by telling Ask Squaddie "Saturday's game is rained out".

  2. Squaddie works out what changed

It writes the message for you, with the new details next to the old ones so nobody turns up at the wrong time.

  3. Families hear straight away

A push notification to parents and coaches with the app, and an email to every parent address on the team, so families without the app are covered too.

What triggers an alert

Only the changes parents need to know about

Cancelled or postponed

Rained out or ground closed? Mark it cancelled or postponed, or delete it, and every family is told.

New time or date

The alert shows the new kick-off with the old one alongside, so the change is obvious.

Venue moved

Moved courts or fields? The new venue goes out with the old one for reference.

New opponent

If the draw changes who you are playing, parents see the new opponent.

Training too

Training sessions get the same alerts, worded as training rather than a match.

No noise

Fixing a score, adding notes, setting the lineup or tidying up an old game sends nothing. The coach who made the change isn't notified about their own edit.

Works for every sport and every family

Alerts work the same for netball, football, basketball, hockey, volleyball, rugby and every other sport in Squaddie, for both matches and trainings.

Parents who use the free Squaddie parent app get a push notification that opens the match. Parents who haven't installed it still get an email, as long as the team has their email address. That is the gap group chats and paper notices leave open.

FAQ

Common questions

Do parents need the app to hear about a cancelled game?

No. Families with the Squaddie parent app get a push notification, and every parent email address on the team gets an email with the same message.

What counts as a change?

A new date or start time, a new venue, a new opponent, or the match being postponed, cancelled or deleted. Edits to notes, scores, lineups or a game that has already been played don't send anything.

Does it work for trainings as well as matches?

Yes. A moved or cancelled training sends the same alert, worded as training.

Can I cancel a game by just telling the assistant?

Yes. Tell Ask Squaddie something like "Saturday's game is rained out". It shows you the change to confirm, and once you confirm, families are told.

Will parents get spammed if I edit a match a few times?

Only edits that change something families care about send an alert. Each of those does send one, so make the change once you know the final details.

Stop texting the whole team every time it rains

Change the match once. Squaddie tells every family.
